In Summer 2020, AdventHealth Celebration will have 5 new floors and an additional 80 beds expanding from a 237-bed, state-of-the-art hospital to a 297-bed hospital.

Work Hours/Shift: Monday – Friday 6:30am – 3pm

You Will Be Responsible For:
Demonstrates, through behavior, AdventHealth’s core values of Integrity, Compassion, Balance, Excellence, Stewardship, and Teamwork.

Performs a wide range of administrative functions which include supporting department reception, maintaining various appointment calendars, arranging meeting rooms and catering, running errands, coordinating basic events, etc. Assists management with coordination and oversight of department functions, i.e. various campaigns, holiday and employee events.
Oversees department equipment (including fax and copy machines) and office supplies, ensuring adequate supplies are maintained/ordered. Ensures equipment is operating and serviced as required. May have responsibility for/oversight of department furniture and upkeep. May generate purchase orders and/or work with ADVENTHEALTH Purchasing.
Maintains department files, databases, records, etc. May be responsible for department employee records including time and attendance, various payroll matters, education, etc.
Creates/compiles/maintains various department reports, forms, spreadsheets, documents, etc., including IDTs, PAVs, expense reports, etc. May assist department management with budgetary coordination/oversight. May be responsible for department petty cash functions.
Maintains department policies and procedures, updating and filing as required. May be responsible to recommend updates and assist with policy/procedure creation.


What You Will Need:


Two years’ office/secretarial experience
Proficiency with Microsoft Office software (Outlook, Word, Excel, PowerPoint)
Knowledge of general office and communication equipment
Discretion and ability to maintain confidentiality
Good problem-solving skills
Flexibility, and ability to multi-task and meet deadlines
Passing of General Clerical Comprehensive and Microsoft Office 2010 pre-employment tests, per AdventHealth standards


Associate degree in business or secretarial science

Job Summary:

Actively participates in outstanding customer service and accepts responsibility in maintaining relationships that are equally respectful to all. Coordinates various department office and administrative functions and performs secretarial functions. Maintains various databases and records and has reporting responsibility; may ensure compliance as appropriate. Oversees department supplies and equipment, and processes IDTs, PAVs, etc., as required. May serve as department IS Coordinator.
