Job Description :
POSITION SUMMARY:
This position is responsible for data entry and management, training activities, purchasing activities, and supporting day-to-day operation of Purchasing & Administration section of Strategic Planning and Sourcing Department under limited supervision.
The essential functions of the position include, but are not limited to the following:

Review the contract and ensure the accuracy on data entry requests.

Enter/Edit project contract data or other project related data into the database systems.

Enter the details of new construction projects’ budget into database systems.

Maintain and ensure the job closing status, project contract status and other key data on the database systems are current and accurate.

Prepare and distribute monthly reports, and assist in the development of customized reports per direction from the manager.

Maintain and update the data entry request forms as needed.

Plan and provide trainings to the requestors.

Review freight, IDESA materials or other invoices and prepare for the approvals.

Create and distribute purchase orders and place orders to the vendor per request bases.

Track the assigned project schedules in order to make the best judgement regarding when to place orders for required materials on timely manner.

Update Local Parts Tracking Forms to ensure the timely purchases on assigned OEM Traction and Escalator projects.

Resolve the problems with the vendors regarding: material defects, delivery shortage, invoice discrepancy or others.

Ensure ITGC related documents are current and accurate, and prepare for the audit activities.

Maintain the purchase order, ICFR related documents or other files.

Provide support to the Manager and Assistant Manager as needed.

Provide other administrative support, which include but not limited to; answering phone inquiries, sending out mails, reproduce manuals, arranging meetings.

EDUCATION AND EXPERIENCE:

College education or equivalent experiences.
Minimum of 2-3 years of office work experience.
Proficiency in using simple computer programs, such as: Microsoft Windows, Word, Excel and Outlook.
Ability to learn and become proficient with the company database systems.
Strong organizational skills
Excellent communication skills
Possess positive attitude and a team player
