This position is part of the Commercial Lease Administration/Accounting Department. The Lease Administration Manager’s primary focus is to oversee the CAM reconciliation process and maintain the accuracy of lease information for optimal operational and financial reporting. The Lease Administration Manager works with both internal and external customers, including but not limited to, Division Management, Real Estate Managers, Leasing and Development, Finance, Accounting and Commercial Tenants. The commercial portfolio consists of retail, industrial and office properties in Southern CA, Northern CA, and Colorado.
The Lease Administration Manager, as with all Shea team members, is expected to conduct himself / herself in a professional manner that is consistent with Shea Core Values and the Business Ethics, Employee Conduct and Confidentiality policy.
Manage the annual CAM Reconciliations process in coordination with third-party consultants, property accountants and real estate managers.
Oversee process of timely and accurate abstraction of tenant lease documents into Yardi.
Provide lease interpretation for CAM set up and annual reconciliations.
Provide guidance and on-going training to four Property Accountants on lease administration duties including setup of new commercial leases, lease renewals, expansions, contractions, relocations, terminations, and lease amendments.
Provide best practices for streamlining CAM reconciliation and lease abstraction processes.
Respond to various special projects from Real Estate Management and Finance departments.
Manage retail sales reporting and review percentage rent calculations.
Yardi Administration – Active role in the implementation of Yardi initiatives and upgrades, assist with the coordination of enhancements, upgrades and testing, and resolve data and technical issues.
Review, analyze and resolve CAM disputes and audits with tenants.
Resolve critical tenant issues by researching and gathering relevant lease and transaction information.
Oversee monthly billing process with accounting and property managers to ensure timely and complete billings.
Responsible for the setup and onboarding of new development properties.
Review move-outs and security deposit refunds.
Support property dispositions including pro-ration calculations and post-close clean up.
Review ad hoc charges for accuracy and completeness.
Perform or review tenant ledger and account analysis.
Review and ensure timely processing of Property Tax billings.
Maintain CPI escalations.
Complete external/internal audit requests.
Manage tenant audit requests.
Ideally 5+ years of work experience in commercial lease administration but will consider minimum 3 years of commercial lease administration experience with additional relevant work experience.
CAM Reconciliation and Lease Abstracting experience required and preferably for a portfolio of retail shopping centers.
Bachelor’s degree in Accounting, Finance, Business or Real Estate preferred.
Working knowledge of legal language in commercial leases and other real estate agreements.
Must be able to meet deadlines, be highly customer oriented and responsive.
Strong attention to detail, proactive and self-motivated.
Excellent oral and written communication skills.
Advanced skills in MS Applications- Excel, Word and Yardi preferred.
Effective project management and prioritization skills.
The Lease Administration Manager works in a professional office environment and interfaces with external/internal customers, vendors, and financial partners on a regular basis. Work hours are usually scheduled from Monday through Friday from 8 a.m. – 5 p.m. However, the Lease Administration Manager should be flexible with availability depending on the needs of the department. Lease Administration Manager will maintain professionalism at all times with management and team members as well as successful communication and positive relationship building.
While performing the duties of this job, the employee is frequently required to stand, walk, sit, use hands, reach with hands and arms, stoop, kneel, crouch, or crawl, talk, and hear. May be required to lift and/or move up to 25 pounds.
