The Hay Manager will manage all aspects of the world-renown Pebble Beach Golf Academy and Practice Facility and The Hay in a way that maximizes financial performance and consistently exceeds the expectations of our guests, students, and members. This person is primarily responsible for daily operations, supervising a staff of 22 in three different departments, and driving revenues, which are generated from greens fees on The Hay, group buyouts and events, individual lessons, equipment and retail sales, and PBPF membership fees.
Essential Duties & Responsibilities:
Overall Supervisory Functions
All 22 employees working at the PBGA (4 instructors and 2 operations assistants), Practice Facility (10 outside service staff), and The Hay (3 operations assistants and 3 outside service staff) will report to this manager
Perform all personnel related functions, including interviewing, hiring, training, performance evaluations, counseling, scheduling, and timecard reconciliation
Host daily team huddles and regular staff meetings
Cover breaks, lunches, and call-outs
Responsible for all budgets, financial results, and invoice processing
Model and integrate PBC culture (mission, values and standards)
Comply with all Pebble Beach Company safety and health policies and procedures
The Hay Specific Functions
Daily tee time management in SMS—e.g. available times, group blocks, employee golf
Manage reservation / booking process with operations staff and assist when needed
Daily reconciliation of greens fees, cash received and night audit reports
Handle guest issues as they arise
On-course management over the short course and putting course (e.g. pace of play, etiquette adherence)
Maintain, clean, and switch rental club inventories
Inventory management (rental clubs, scorecards, pencils, tees, amenities)
Golf Academy & Practice Facility Specific Functions
Have proficient knowledge of all teaching technologies and facility operations
Ensure all technologies are operational and software is current; troubleshoot when needed
Work with club fitter to maintain current season product in fit cart
Complete club purchase orders (using Next system and ringing orders into POS)
Maintain individual lesson tracking reports and complete bi-weekly payroll commissions
Maintain retail displays and refill / requisition retail stock through RDC
Maintain F&B displays and refill / requisition F&B stock through Eatec
Pick up F&B orders from loading dock / purchasing
Conduct retail and F&B inventories at the end of each month (using Next & Eatec)
Maintain stock and quality control of practice balls
Maintain PBGA&PF equipment (picker, golf carts, ball washer, radios) with regular maintenance checks
Maintain and replenish all custodial supplies and equipment
Weekly facility inspections; coordinate any cleaning or repair schedules
Coordinate with PB Maintenance of any facility maintenance changes (filling of divots, aeration)
Oversee all capital projects
Group Sales Functions
Work with PBC Group Sales to identify prospective and repeat customers for The Hay and PBGA events
Develop relationships with key group planners and sell them on the benefits of group events at The Hay and PBGA
Host site inspections for prospective customers while demonstrating an intimate knowledge of The Hay and PBGA, including all technologies
Identify, develop, and execute new, creative strategies to grow group business
Coordinate with other PBC departments (e.g. Sales, Marketing) to grow the reach and presence of The Hay and PBGA through all media channels
Own all content on The Hay and PBGA webpages and ensure it is up to date at all times
Respond to and follow up on all in-bound inquiries from and referrals to interested groups
Negotiate and execute contracts for these group events with terms favorable to PBC
Manage and share with Golf leadership (bi-weekly) a robust sales pipeline that demonstrates a thorough effort to reach all PBC group customers and a fundamental understanding of all lost business
Maintain all sales file information including contracts, booking patterns, histories, and other pertinent information
Create and compile central client database for marketing purposes
Group Event Execution
From the time of contract signing and up through the event’s conclusion, serve as the primary point of contact for organizing each group’s event at The Hay or PBGA
Coordinate with Sales and group coordinators to ensure that client’s plans are implemented
Confirm all information on resume with appropriate departments, such as banquet event orders, amenity forms, and memos to pro shops
Conduct pre-conference meeting to coordinate execution of the event with involved departments
Schedule all staff for group instruction programs (create standards and maintain instructor list), The Hay buyouts or putting course events
Required to be on-site for all events
Review billing before final invoice is sent to client; ensure that billing coordinator receives accurate information on services rendered
Coordinate with PB Maintenance of any event schedules that may affect routine maintenance or sprinkler schedules
Find ways to enhance membership experience that will lead to organic growth
Maintain all PBPF membership files
Generate monthly membership reports
Manage membership processing: timely renewal notices, follow-up calls, printing new cards, assembling member packets and mailing packets timely
Maintain and coordinate The Hay and PBGA closure communications (e.g. AT&T, PURE, PBI)
5 years’ experience in the golf industry
Fundamental sales skills
Excellent verbal communication skills
Excellent time management and organizational skills
Strong interpersonal and relationship-building skills
Proficient computer skills
Ability to effectively learn new computer applications
Working knowledge of Microsoft Office programs
Have and maintain valid California driver’s license with two points or less
College degree and/or PGA preferred
